What this does

Choose the safe next action for Needs review, publishing, blockers, warnings, failures, cancellation, and unknown outcomes.

Before you begin

  • This state machine applies only to the supported Review route, not every normal drop/provider.
  • Inspect Audit history and external provider/store state before retrying.

What changes outside ArtDrop

Editing and cancellation are local before release. Approve & release and a safe publishing Retry can write to provider/Shopify. An unknown create outcome must be reconciled instead of blindly replayed.

Steps

  1. Needs review

    Open the item, edit supported fields, resolve print-fit/phrase evidence, and acknowledge only warnings you understand. Hard blockers cannot be overridden.

  2. Approved / Publishing

    The item has crossed the external-write boundary. Do not click a second release action. Follow Audit history and provider/store records.

  3. Needs attention

    Read whether the stage is retryable, failed, or unknown. Retry only a known idempotent/safe stage; reconcile ambiguous create outcomes manually.

  4. Published

    Confirm the recorded publication reference and inspect the live Shopify product. Published does not guarantee future fulfillment configuration.

  5. Canceled

    The pending ArtDrop row is terminal. Source art remains and any external object that already existed remains outside ArtDrop.

Expected result

Every item has one durable state, revision, audit trail, and either a safe next action or a clear stop/reconcile instruction.

Limits and non-goals

  • A warning can be acknowledged; a hard blocker cannot.
  • Missing/stale USPTO evidence blocks approval and remains evidence only, not legal clearance.
  • Published and fulfilled are different states owned by different systems.

Troubleshooting

  • If state and external reality disagree, stop mutation, capture IDs/times, and contact support for reconciliation.
  • If the page says unsupported route, turn Review off only after understanding that normal drops may then publish immediately.

How to undo or clean up

Cancel affects the pending row only. After external creation, perform cleanup in Gelato/Shopify and retain the audit identifiers.
